Ask clearly

First refund request

Write a short, polite email requesting a refund (or replacement, my choice) for an order that arrived faulty. Use only these facts: order number [number], ordered on [date], item [product], and the problem is [describe what is actually wrong]. State clearly what I want: [refund or replacement] by [reasonable date]. Keep it factual, no anger.

Why it works: Turns a frustrating problem into a clear, answerable ask.

Warranty claim

Draft a warranty claim for [product], bought on [date] from [seller], warranty reference [number if you have one]. Describe only the real fault: [what stopped working and when]. Quote the seller's own stated warranty terms: [paste the relevant line]. Ask them to repair, replace, or refund under that policy.

Why it works: Anchors your claim to their written warranty, not your mood.

Cancel and refund a subscription

Write a clear message to cancel my subscription to [service], account [email or ID], and request a refund of the last charge of [amount] on [date]. Give the real reason: [for example, charged after cancelling, or auto-renewed without notice]. Reference their refund policy: [paste the relevant line]. Ask for written confirmation of the cancellation.

Why it works: Cancels and asks for your money back in one calm message.

Escalate calmly

Escalate to a supervisor

I already asked for [refund, replacement, or fix] and was told no. Write a calm message asking to escalate to a supervisor. Summarize only the facts so far: order [number], the problem [describe], what I requested [request], and their response [what they said]. Do not raise the tone, just ask a more senior person to review it.

Why it works: Moves you up the ladder without burning the bridge.

Rewrite my angry draft

Rewrite this message so it stays firm but calm and gets a better result. Keep every fact, remove the insults and threats: [paste your angry draft]. The outcome I want is [state it plainly].

Why it works: Keeps the facts and the pressure, drops the parts that get you ignored.

Formal steps

Chargeback letter to your bank

Help me write a clear, factual chargeback request to my bank for a charge of [amount] on [date] to [merchant]. State the facts: what I paid for [item or service], what went wrong [describe], the dates I contacted the merchant [dates], and their response [what they said, or that they did not reply]. Reference the merchant's own policy: [paste the relevant line]. Ask the bank to reverse the charge.

Why it works: Gives your bank the timeline and evidence a dispute actually needs.

Complaint to a consumer body

Write a short, neutral complaint summary I can submit to [consumer protection body or ombudsman]. Include only: the company [name], what I bought [item] on [date] for [amount], the problem [describe], the steps I have already taken [list], and the outcome I am seeking [state it]. Keep it factual and under one page.

Why it works: A tidy, factual summary is what these bodies can actually act on.

Get it in writing

Draft a brief message asking [company or agent name] to confirm in writing what we agreed on [date or call]: [summarize exactly what was promised, including amount, action, and date]. Ask them to reply confirming these points so we both have a record.

Why it works: A verbal promise you cannot prove is a promise you may not get.
