Work email prompts

These are ready-to-use prompts for the work emails that are easy to get wrong when you are stressed or busy. Paste one into your AI, fill in the brackets with your real details, and get a clear, respectful draft you can send.

Everyday requests

Request time off

Write a short, professional email to my manager requesting paid time off. Dates I want off: [dates]. Reason (keep it brief, only if I want to share it): [reason or leave blank]. Note that I will [wrap up or hand off my open work] before I leave. Keep it warm, clear, and easy to say yes to.

Why it works: A clean request with a handoff plan is the fastest path to a yes.

Ask to work from home

Write a brief, polite email asking my manager if I can work from home on [date] because [reason]. Reassure them I will be fully reachable, in meetings as normal, and hitting [what I am responsible for that day]. Keep it low-key and confident, not apologetic.

Why it works: Framing it around coverage, not permission, makes a one-off request feel routine.

Status update to my manager

Turn these rough notes into a clear status update email for my manager: [paste notes]. Organize it as: what is done, what is in progress, what is blocked or needs a decision, and next steps. Keep it scannable and under 150 words.

Why it works: A structured update saves your manager from chasing you and makes you look on top of it.

Say no and push back

Decline extra work

Help me politely decline taking on [new task or request] because I am already committed to [current priorities]. Offer a tradeoff, such as doing it after [date] or dropping or delaying [lower-priority item] to make room. Keep it collaborative and solution-focused, never defensive: [paste the request].

Why it works: Pairing a no with a tradeoff shows you are managing priorities, not dodging work.

Push back on a deadline

Write a respectful email pushing back on the deadline of [date] for [project], which is not realistic because [reason]. Do not just say no: propose a specific alternative, like a later date of [date] or delivering [a smaller first piece] on time. Keep the tone calm and focused on doing it well: [paste details].

Why it works: Managers accept pushback far more easily when it comes with a concrete alternative.

Flag that I am at capacity

Help me write a calm, professional message to my manager letting them know I am at or near capacity before it becomes a problem. My current workload: [list what is on my plate]. Ask them to help me prioritize or reassign something, and frame it as protecting the quality of my work. No drama, no blame.

Why it works: Raising capacity early is a professional signal, not a complaint, and it prevents a burnout blowup.

Harder conversations

Open a raise conversation

Help me write a short email asking my manager to schedule a conversation about my compensation. Ground it in my contributions: [list what I have accomplished, added responsibilities, or results with numbers if I have them]. Keep it confident and specific, not entitled, and ask for a meeting rather than making the case in the email itself.

Why it works: Leading with evidence and asking for a meeting sets up the raise talk without cornering anyone.

Disagree with my boss

Help me disagree with my boss respectfully in writing. Their position: [what they decided or proposed]. My concern and reasoning: [my view and why]. Acknowledge their point first, state my perspective clearly, and end by deferring to their call or proposing a next step. Keep it professional and low-ego: [paste context].

Why it works: A disagreement that starts with acknowledgment reads as thoughtful, not insubordinate.

Set an after-hours boundary

Help me write a polite message setting a boundary about after-hours messages. The situation: [what has been happening, for example messages late at night or on weekends]. I want to keep being a reliable teammate during work hours while protecting my off time. Suggest when I will realistically respond and how to reach me if something is truly urgent.

Why it works: Naming your response window plus an urgent-only exception makes the boundary easy to respect.
